AUTOMATION

Follow-up is a process, not a reminder.

Five decisions to take before automating commercial replies.

Redazione SYSTEM ·

Define the entry

An enquiry has to arrive with the context it needs: what the person is looking for, how to contact them again and which activity produced the contact. Ask only for information useful to the next decision.

Assign an owner

A contact in the CRM without an owner can stay where it is. Define assignment criteria and an alternative when the owner is not available. The process has to make enquiries without a follow-up visible.

Separate rules and interpretation

A reminder on a deadline does not require an AI model. The summary of a long enquiry may benefit from one. Bound the task and verify the result before the actions that affect the relationship with the customer.

Design the exceptions

Incomplete data, duplicate contacts and interrupted integrations need a path. Avoid a technical error producing duplicate replies or a false confirmation. Record the outcome and make a human intervention possible.

Measure the outcomes

Observe time to first response, enquiries assigned, appointments and contacts closed. The emails sent describe activity; on their own they do not describe how effective the process is.

Before automating, test the journey with one normal enquiry, one incomplete and one duplicate. If nobody knows what is supposed to happen, the priority is defining the process.
